Question 1

What is ExpoStayz?

Accepted Answer

ExpoStayz is a dedicated accommodation platform engineered specifically for exhibitions, trade expos, convention delegates, and corporate event travelers. Unlike generic travel aggregators, ExpoStayz anchors every hotel listing directly to exhibition centers such as India Expo Centre & Mart (Greater Noida), Yashobhoomi (IICC New Delhi), and Bharat Mandapam (Pragati Maidan). We provide exact walking and driving distances, verified business amenities, flexible corporate booking policies, corporate GST controls, and direct integration with exhibition calendars.

Question 2

How do I create an ExpoStayz account?

Accepted Answer

Click the "Sign In / Register" button in the navigation bar to sign up instantly using Google OAuth, email, or your phone number via Clerk. Signing up takes under 30 seconds. Your profile stores past and upcoming reservations, GSTIN credentials for one-click invoice generation, saved favorite hotels, and payment preferences.

Question 3

What information is required to make a booking?

Accepted Answer

You only need the primary guest's full name, email address, phone number, and payment information. If you require a tax invoice for corporate input credit, you can also provide your company legal name and 15-digit GSTIN during step 4 of the checkout process.

Question 4

What payment methods are supported on ExpoStayz?

Accepted Answer

ExpoStayz operates on a 100% transparent Pay-at-Hotel model. No advance payment or card deposit is required during online booking. You can reserve your room with ₹0 due today and pay directly at the hotel front desk upon check-in via Cash, UPI (Google Pay, PhonePe, Paytm), or Credit/Debit Cards.

Question 5

How do I cancel a hotel booking on ExpoStayz?

Accepted Answer

Go to /account, locate your reservation under "Active Bookings", click "View Details", and select "Cancel Booking". The cancellation modal will show your applicable refund amount calculated according to the specific cancellation policy of your booked rate plan before you confirm.

Question 6

What is ExpoStayz for Business (Corporate Portal)?

Accepted Answer

ExpoStayz for Business is an enterprise travel management portal designed for companies sending employees, sales teams, and executives to trade exhibitions. It centralizes employee directories, travel budget caps, approval hierarchies, consolidated monthly GST billing, and dedicated group corporate discounts (15–20% off standard rates).

Question 7

What is a Corporate Event on ExpoStayz and how does it work?

Accepted Answer

A Corporate Event is a centralized accommodation program created by a company to manage hotel bookings for all employees attending a specific trade expo. Rather than employees booking scattered individual hotels, a Corporate Event groups team members under a single event banner (e.g. "EV India Expo 2026 Delegation"), applies uniform budget caps, shortlists partner hotels near the venue, and assigns rooms efficiently.

Question 8

How do I list my hotel property on ExpoStayz?

Accepted Answer

Visit /hotel-partners and click "List Your Hotel" to launch our guided 16-step onboarding wizard. You will provide property metadata, location coordinates, contact details, GSTIN/PAN verification, bank details, high-res photos, room categories, pricing, and hotel policies. Once submitted, our verification team audits your listing within 24 hours.

Question 9

Can I save my hotel onboarding progress and continue later?

Accepted Answer

Yes, your progress is automatically saved in your browser and account profile so you can resume at any step. You can upload photos, enter basic details, and return later to provide bank accounts or finalize room categories without losing previously entered data.

Question 10

Where is India Expo Centre & Mart located and how do I reach it?

Accepted Answer

India Expo Centre & Mart is located at Plot No. 23–25 & 27–29, Knowledge Park II, Greater Noida, Uttar Pradesh 201306. It is directly accessible via the Noida-Greater Noida Expressway, Yamuna Expressway, and the Aqua Line Metro (Knowledge Park II Metro Station is just 400 meters away). ExpoStayz lists hotels situated within walking distance and short cab rides along Knowledge Park and Pari Chowk.

Question 11

Can I request a GST tax invoice for corporate input tax credit (ITC)?

Accepted Answer

Yes, ExpoStayz provides fully compliant GST invoices containing your registered company name, billing address, and 15-digit GSTIN. Simply enter your company GSTIN during checkout or save it to your Corporate Profile. The applicable GST (typically 12% or 18% depending on room tariff rules) will be itemized for seamless tax credit filing.

Question 12

How does ExpoStayz protect my account and personal data?

Accepted Answer

We employ enterprise Clerk authentication, AES-256 encrypted database storage, strict HTTPS/TLS communication, and role-based session isolation. We adhere to global privacy frameworks and the Digital Personal Data Protection (DPDP) Act. We never sell your personal contact numbers or corporate itinerary data to third-party telemarketers.

Question 13

How can I report an issue with my booking or hotel check-in?

Accepted Answer

For urgent check-in support, contact our priority desk at support@expostayz.com with your booking reference (e.g. EXP-2026-XXXX). Our on-ground exhibition coordinators in Greater Noida and Delhi NCR intervene directly with hotel front desks to resolve room availability, key delivery, or billing discrepancies.

Question 14

Who can use ExpoStayz?

Accepted Answer

ExpoStayz is designed for both individual B2C event attendees/exhibitors and corporate enterprises, as well as hotel property partners looking to list their rooms. Our platform caters to three primary user groups:
1. **Individual Travelers & Exhibitors (B2C):** Seamlessly search and reserve rooms close to event venues with transparent cancellation rules and GST invoices.
2. **Corporate Organizations & Travel Managers (B2B):** Create multi-employee events, set room rate budgets, enforce travel policies, and manage centralized invoicing.
3. **Hotel Property Owners & Managers:** Monetize high-occupancy exhibition dates through our dedicated partner extranet with full inventory and rate parity controls.

Question 15

Can I sign in using my Google account?

Accepted Answer

Yes, ExpoStayz supports seamless One-Tap Google OAuth for secure, passwordless authentication across desktop and mobile. Google Sign-In is powered by Clerk Enterprise authentication, ensuring full identity encryption, instant email verification, and two-factor safety.

Question 16

When is my booking confirmed?

Accepted Answer

Your booking is confirmed instantly upon successful payment authorization, generating a unique booking reference (e.g. EXP-2026-XXXX). You will immediately see the confirmation screen with your QR voucher, and an automated confirmation email with PDF receipt will be dispatched to your registered email address.

Question 17

Is online payment secure on ExpoStayz?

Accepted Answer

Yes, 100% secure. We utilize PCI-DSS certified payment processors with 3D Secure OTP verification and end-to-end encryption. Your sensitive banking credentials are encrypted directly via bank-approved payment gateways. We adhere strictly to Reserve Bank of India (RBI) tokenization guidelines.

Question 18

Is every booking refundable?

Accepted Answer

No. Refundability depends on the rate plan chosen during booking (e.g. Free Cancellation vs Non-Refundable Promotional Rate). Every room listing clearly indicates its policy badge:
- **Free Cancellation:** Full refund if cancelled before the stated deadline (e.g. up to 24 or 48 hours prior to check-in).
- **Partial Refundable:** Scaled deduction based on cancellation timing.
- **Non-Refundable:** Highly discounted promotional rates that cannot be refunded once confirmed.

Question 19

How do corporate booking permissions and travel policies work?

Accepted Answer

Company admins can configure travel tiers (e.g. Executive, Management, Sales) with maximum allowable nightly rates, star ratings, and required approvals. When an employee or travel coordinator creates a reservation that exceeds the pre-set budget or policy constraints, an approval notification is automatically routed to the designated Travel Manager before confirmation.

Question 20

Can employee stay dates differ from the official exhibition dates?

Accepted Answer

Yes. Travel managers can set customized arrival and departure dates per employee to account for booth setup, VIP previews, or extended networking. For instance, if an exhibition runs Oct 14–16, setup crews can arrive Oct 12 while sales delegates arrive Oct 13, all budgeted within the same event program.

Question 21

What documents and information are required for hotel onboarding?

Accepted Answer

Hotel partners must provide: Property Legal Name, Address, Contact details, GSTIN Certificate, PAN card copy, Bank Account details for direct RTGS/NEFT payouts, and Trade License/FSSAI. Accurate legal and tax documents ensure seamless input tax credit for corporate guests and automated weekly/monthly settlements to your hotel's bank account.

Question 22

How long does property review and verification take after submission?

Accepted Answer

Our admin verification desk typically reviews and publishes compliant hotel submissions within 12 to 24 business hours. Once approved by the moderation team in the Admin Verification Hub, your property immediately appears in live search results and becomes bookable across B2C and B2B portals.

Question 23

Question 25

What if I forget my password or need to reset credentials?

Question 26

What information should I provide when raising a support request?

Accepted Answer

Please share your Booking Reference (EXP-XXXX), registered email, guest name, hotel property name, and a brief description of the request. Including screenshot receipts or hotel communication helps our operations desk resolve your inquiry in a single interaction.

Question 27

What types of hotels can I book on ExpoStayz?

Accepted Answer

You can book verified business hotels, luxury 4-star and 5-star properties, executive serviced suites, and budget-friendly boutique stays near major exhibition centers. Every hotel on ExpoStayz is vetted for business readiness, including reliable high-speed Wi-Fi, dedicated work desks, round-the-clock power backup, hot water, and early breakfast options suited for exhibition hours.

Question 28

Can I search for hotels without creating an account?

Accepted Answer

Yes, you can freely search hotels, explore rooms, check distance to venues, and view transparent pricing without logging in. An account is only requested when finalizing checkout so we can issue your verified booking reference, tax invoice, and send check-in SMS/email alerts.

Question 29

What happens if the selected room becomes unavailable during checkout?

Accepted Answer

If another user secures the last room before payment completion, our system notifies you immediately and recommends the closest alternative room category or neighboring property. No funds are deducted from your account if inventory fails server validation. If money was debited by your bank due to network latency, an automated full refund is reversed within 24–48 hours.

Question 30

Why did my payment fail during checkout?

Accepted Answer

Payment failures typically occur due to incorrect bank OTP entry, daily transaction limit caps, insufficient funds, or banking network timeouts. If a payment fails, your room selection remains held for 10 minutes. You can retry with an alternate method (e.g. switching from Net Banking to UPI QR).
