Q: How is the hotel distance calculated on ExpoStayz?

Distance is measured along actual road and pedestrian network routes from the main exhibition hall gates, not just straight-line radial distance. We calibrate our distance calculation against local traffic routes and pedestrian access gates around major centers like India Expo Centre & Mart to provide realistic transit times.

Question 1

How do I create an ExpoStayz account?

Accepted Answer

Click the "Sign In / Register" button in the navigation bar to sign up instantly using Google OAuth, email, or your phone number via Clerk. Signing up takes under 30 seconds. Your profile stores past and upcoming reservations, GSTIN credentials for one-click invoice generation, saved favorite hotels, and payment preferences.

Question 2

What information is required to make a booking?

Accepted Answer

You only need the primary guest's full name, email address, phone number, and payment information. If you require a tax invoice for corporate input credit, you can also provide your company legal name and 15-digit GSTIN during step 4 of the checkout process.

Question 3

Can I sign in using my Google account?

Accepted Answer

Yes, ExpoStayz supports seamless One-Tap Google OAuth for secure, passwordless authentication across desktop and mobile. Google Sign-In is powered by Clerk Enterprise authentication, ensuring full identity encryption, instant email verification, and two-factor safety.

Question 4

When is my booking confirmed?

Accepted Answer

Your booking is confirmed instantly upon successful payment authorization, generating a unique booking reference (e.g. EXP-2026-XXXX). You will immediately see the confirmation screen with your QR voucher, and an automated confirmation email with PDF receipt will be dispatched to your registered email address.

Question 5

Can I search for hotels without creating an account?

Accepted Answer

Yes, you can freely search hotels, explore rooms, check distance to venues, and view transparent pricing without logging in. An account is only requested when finalizing checkout so we can issue your verified booking reference, tax invoice, and send check-in SMS/email alerts.

Question 6

What happens if the selected room becomes unavailable during checkout?

Accepted Answer

If another user secures the last room before payment completion, our system notifies you immediately and recommends the closest alternative room category or neighboring property. No funds are deducted from your account if inventory fails server validation. If money was debited by your bank due to network latency, an automated full refund is reversed within 24–48 hours.

Question 7

How do I select check-in dates, rooms, and guests?

Accepted Answer

Use the interactive search bar at the top of the page to select your arrival date, departure date, total room count, and guest breakdown. You can customize adult and child counts per room. For corporate group stays exceeding 5 rooms, we recommend using our Corporate Travel tool to unlock dedicated group rates and multi-employee room allocations.

Question 8

How do I book a hotel room on ExpoStayz?

Accepted Answer

Booking is a simple 6-step flow: Search venue or dates → Choose hotel → Select room type → Enter guest details → Complete secure payment → Receive instant confirmation. Here is the recommended booking flow:
1. **Search:** Input venue or destination (e.g. India Expo Mart).
2. **Select Hotel:** Compare star ratings, guest reviews, and exact distance.
3. **Select Room:** Choose your desired rate plan (e.g. Breakfast Included or Free Cancellation).
4. **Guest & GST Details:** Enter guest names and optional company GSTIN for tax invoice.
5. **Payment:** Complete checkout via UPI, credit/debit card, or net banking.
6. **Confirmation:** Instant digital voucher generated with QR code.

Question 9

Can I filter hotels by distance from India Expo Mart or other venues?

Accepted Answer

Yes, our search interface includes precision distance sliders and quick-distance chips (e.g. < 1 km, < 3 km, < 5 km) from the chosen venue. Distances are mathematically computed from venue entrance coordinates to the property entrance. We also display walking minutes (e.g., 12 mins walk) and driving duration under normal traffic conditions.

Question 10

How is the hotel distance calculated on ExpoStayz?

Accepted Answer

Distance is measured along actual road and pedestrian network routes from the main exhibition hall gates, not just straight-line radial distance. We calibrate our distance calculation against local traffic routes and pedestrian access gates around major centers like India Expo Centre & Mart to provide realistic transit times.

Question 11

Why can hotel availability or price change after I search?

Accepted Answer

Exhibition periods experience rapid booking velocity. Real-time availability and prices are subject to final server-side lock validation at checkout. During high-capacity trade shows, multiple corporate buyers and attendees may reserve rooms concurrently. When you proceed to checkout, our server locks the room inventory for 10 minutes to guarantee your rate while you complete payment.

Question 12

Where can I see my booking history and vouchers?

Accepted Answer

Log in to your account and navigate to the Customer Dashboard at /account to view active, completed, and cancelled bookings. Each reservation card in your dashboard includes check-in/out times, room details, hotel contact numbers, cancellation policies, digital QR vouchers, and instant PDF invoice downloads.

Question 13

How do I add a hotel to my saved favorites?

Accepted Answer

Click the heart icon on any hotel card or hotel detail page to bookmark properties for quick comparison. Your saved list is synchronized to your profile across devices so you can easily review shortlisted stays with colleagues before booking.
